Policy Statement and Objectives

Roles, Responsibilities and Accountability
Management is responsible for establishing and maintaining safe systems of work, providing the necessary resources and ensuring that risk assessments and method statements are prepared and followed for all significant tasks, including manual handling, vehicle operations and use of equipment.
Supervisors are responsible for day-to-day implementation of this policy on site and on the road, briefing teams before work begins, monitoring compliance with safety procedures and addressing unsafe behaviour or conditions immediately.
Employees and contractors must follow all safety instructions, use equipment correctly, report hazards and incidents promptly and cooperate fully with training and health and safety initiatives. Everyone is encouraged to raise concerns and suggestions for improvement without fear of reprisal.
Risk Assessment and Safe Working Practices
We carry out suitable and proportionate risk assessments for our removal operations, including domestic and commercial moves, packing services, storage handling and transport of items. These assessments identify hazards, evaluate associated risks and determine appropriate control measures.
Typical risk areas include manual handling of furniture and boxes, use of trolleys and lifting aids, access to properties, stairs and tight spaces, loading and unloading of vehicles, traffic and parking conditions, and weather-related risks. For each job, our team considers these factors and implements safe working methods, including the use of appropriate lifting techniques, team lifting for heavy or bulky items and careful route planning.
Manual Handling and Use of Equipment
Due to the nature of removal work, manual handling is a significant part of our operations. We take all reasonably practicable steps to reduce the need for hazardous manual handling by using equipment such as trolleys, dollies, straps and ramps wherever possible.
All staff receive instruction on safe lifting practices, including posture, load assessment and team coordination. They are required to refuse tasks that cannot be carried out safely, for example where an item is too heavy or awkward to move without additional assistance or equipment. Equipment is selected, maintained and used in accordance with manufacturer guidance and internal procedures.
Vehicles, Driving and Road Safety
Our vehicles are maintained in a roadworthy condition and are inspected regularly. Drivers must hold the appropriate licence, follow all road traffic laws and operate vehicles in a courteous and defensive manner.
Loads are secured to prevent movement during transit, and weight limits are strictly observed. Drivers are responsible for carrying out basic pre-use checks and reporting any defects or concerns immediately. Routes are planned to minimise risk, taking into account access restrictions, traffic conditions and safe locations for loading and unloading.
Workplace and Site Safety
Whether operating at a client property, commercial premises or storage facility, our teams are expected to keep work areas as safe and tidy as practicable. Walkways and access routes should be kept clear of trip hazards such as packaging, tools and loose materials.
Care is taken to protect floors, walls and fixtures where reasonably practicable, both to prevent damage and to minimise slip and trip risks. When working in shared or public areas, we take steps to protect members of the public from moving loads and vehicle movements, including clear communication and designated loading zones where feasible.
Information, Instruction, Training and Supervision
Mayfair Man and Van provides staff with appropriate information, instruction and training relevant to their roles. This includes induction training, job-specific guidance on lifting and carrying, use of equipment, vehicle safety and emergency procedures.
Training needs are reviewed on an ongoing basis, with refresher training provided as required. Less experienced staff work under closer supervision until they have demonstrated competence in safe working practices.
Accident Reporting and Incident Investigation
All accidents, near misses, injuries and dangerous occurrences must be reported as soon as reasonably practicable to the relevant supervisor or manager. Accurate records are kept to help identify patterns and areas for improvement.
Significant incidents are investigated to determine root causes and to implement corrective actions. Lessons learned are shared with the wider team when relevant, and procedures are updated to help prevent recurrence.
Health, Welfare and Fitness for Work
We recognise that the physical demands of removal work require staff to be fit for duty. Employees are encouraged to report health conditions that may affect their ability to undertake certain tasks safely, so that suitable adjustments or alternative duties can be considered.
We promote sensible workload planning, rest breaks and hydration, particularly during periods of hot or cold weather or when handling physically demanding moves. Where necessary, we may adjust staffing levels or schedules to maintain safe working conditions.
Consultation, Communication and Continuous Improvement
We encourage open communication on health and safety matters. Employees are consulted on changes that may affect their safety and are invited to contribute ideas to improve working methods and equipment use.
This policy is reviewed regularly to ensure it remains relevant and effective. Reviews take into account operational experience, incident reports, feedback from staff and any changes in legal or industry requirements. Updated versions of the policy are communicated to all employees and made available to clients on request.
Policy Review and Approval
This Health and Safety Policy is approved by the management of Mayfair Man and Van and is reviewed at planned intervals, or sooner if significant changes occur in our operations or in applicable legislation. All staff are required to familiarise themselves with this policy and to follow the procedures that support it as part of their normal working duties.
